Vote 1: Splitting the position of Secretary/Treasurer
The Board of Directors recommends splitting the position of Secretary/Treasurer into two positions, due to the increase in work required. The Board voted unanimously to adopt this change. ACASA by-laws require a vote by the full membership to finalize it.

The governing body of ACASA will be its Board of Directors, consisting of no less than eight and no more than twelve Directors, a Secretary/Treasurer, and the immediate Past President.

Vote 2: We further propose a change to Article IV: Duties of Officers that formally divides the duties of the secretary/treasurer. Please indicate your stance on the following change:

C. As furnished by the President, the Secretary/Treasurer will distribute the agenda for each Annual Business Meeting and meeting of the Board of Directors at least two weeks before the meeting in question. He/She will record minutes and report them to members of the Board of Directors and to the Newsletter Editor for dissemination to ACASA members. Whenever directed by the President, he/she will perform the same duties for an ACASA committee, provided that in the absence of the Secretary, the Chair of the committee may designate any member to act as Secretary. The Secretary/Treasurer will keep the membership lists and accounts of the organization, opening the account books and roster to members and submitting a financial report at each Annual Business Meeting and meeting of the Board of Directors. He/she will disburse the organization’s funds as directed by majority vote of the Board of Directors.

C. As furnished by the President, the Secretary will distribute the agenda for each Annual Business Meeting and meeting of the Board of Directors at least two weeks before the meeting in question. He/She will record minutes and report them to members of the Board of Directors and provide highlights to the Newsletter Editor for dissemination to ACASA members. He/she will manage correspondence with all members and affiliate organizations; work with third party programmers as needed; undertake Triennial responsibilities to include registration, awards committees, donors, and all contracted parties.
D. The Treasurer keeps the financial accounts of the organization, opening the account books and roster to members and submitting a financial report at each Annual Business Meeting and meeting of the Board of Directors. He/she will disburse the organization’s funds as directed by majority vote of the Board of Directors. Further duties include filing taxes annually; managing electronic and paper deposits and receipts; budgeting Triennial, including overseeing bids from third party contractors and managing Travel Awards; paying bills within 30 days of receipt. Further, the Treasurer assists in all fundraising.
